Meeting Notes
January 13, 2005
Roll Call: Rose Mary Nelson. Marlene Young, Renee Cardarelle, Aaron

Treasurers Report Approved - The ACT Team requested that the dollars
for Banners ($3462.45) be moved to Admin. to be used for by ACT organization.
High Light>>> 10k contribution from local family foundation from
Annandale for Portable Stage.
Advocate Update - Rose Mary volunteered to call Jessica Chapman to get
the update done. Make sure all Chairs have their information updated for Jessica
by Friday, 1/21/04.
Bylaws/Structure - Laura & Renee are working on this. We need to get
Incorporated before we can file to become a 501c3 per Mike Nelson.
Insurance for the ACT Board - Marlene is working on this, but we need to
be incorporated and complete our structure and bylaws to secure insurance.
501c3 - Mike Nelson joined our meeting and gave an overview on the work
and the different rules to becoming a 501c3. He mentioned the following:
- There is a minimum IRS Fee of $500.00. This could be higher depending if
the donations are over 10k.
- There is new form that was released 10/04, but just became available on
the web site. Mike provided ACT with a copy of the new form# 1023,
Application for Recognition of Exemption, under code 501(c)(3) of the
Internal Revenue Code. This new form is suppose to speed the process. Laura
is working on this. Rose Mary will get the new form to Laura. The Chairs are
willing to get together in a "working session" to complete these
forms. The Chairs would also like to get some advance notice on the 5 year
forecasting piece that Mike Nelson mentioned in the meeting.
- Mike Nelson is willing to review Form 1023 when it is complete to make
sure we have included everything we need.
- An Annual Report has to be filed with the Attorney General's Office if ACT
receives more than $25,000 in the calendar year.
- If ACT receives a donation more than $350k in any calendar year, we
must complete an annual audit which could cost $2500.00 to complete.
FUNDRAISER - Mark your calendars for October 1, 2005 for the Portable
Stage Fundraiser. This is a dinner, dance, silent auction at Reichels. Spread
the word! More information to follow.
TEAM REPORTS
- ACT Community Trails - Working on new brochure, Rewrote Grant &
submitted (Federal Transportation Dollars) - This grant is a priority for
the County. The team is hoping for approval this time around.
- Community Center - Plan to complete new brochure by 4/2/05. Marlene
has been asked to join the Facilities Group from the school. This is a
positive linkage since the grade school could be a possible site for the
Community Center.
- Skate Board Park - Maggie is working with Mark Mattese from the
Park & Rec. He plans to do aerial photos to look for possible
sites for the Skate Board Park. She is also working with Karla Heeter to set
goals and meet objectives for 2005 to move towards getting our new Skate
Board Park.
- Arts & Culture - Mark your calendars for the Fund Raiser
for the Portable Performance Stage - Oct. 1, 2005 - Reichels.
Aaron Brown suggested that we get the Middle School involved in some Fund
Raising. Rose Mary & Renee will meet with Aaron to make plans for a
fundraiser for the ACT Organization. Sherry also volunteered to work with
Aaron.
