Meeting Notes - January 11, 2005
ANNANDALE AREA FRIENDS OF THE LIBRARY
January 11, 2005 - 7:00 p.m.
Meeting Minutes
Cindy Ahrens opened the meeting with 14 members
present.
The minutes from the November 9th meeting were
distributed and approved as submitted.
Jean Peterson presented the Treasurer's report and
the proposed Operating Expenses for 2005. The FOL Scrapbook, completed
by Darlene Abdella and Bonnie Gutzwiller was displayed and will be kept at the
Annandale Library.
Unfinished Business
1. Update on Author Event - April 8, 2005
- We have Reichel's
contract and the $200 deposit from the Library Board
- We have received the
signed contract from the Mn Crime Wave.
- Waiting for response
from the HCL Foundation regarding 2 tickets for Isabel
Allende May
19 program to be used as door prize. Other door prizes discussed:
books signed
by author, gift certificates for Buffalo Books, framed posters signed
by authors.
- Tickets and book lists have
been sent to GRRL for printing. Requested a total of 250
tickets to be
sold in advance at the Library (100), In Hot Water (100), and at Buffalo
Books (50).
Tickets will include space for name, address, phone so they can be
used for door
prize drawing. Ticket Sales start February 1st.
- Buffalo Books will
carry books by authors and will provide books for Friends to sell
at the event.
- Decoration Committee
volunteers are Marian Nelson and Diane Shoberg. They will
start with
budget of $50 and will let Sandy Otto know if additional funds are needed.
- Sandy Otto will send
the press releases to the area newspapers during Cindy's
absence and
will send the posters and book lists to the GRRL's when they are
completed.
- Muriel Rudolph will
check with schools for microphones to be used the night of the
event.
- Need volunteers to take
photos at the event for the scrapbook. Also need volunteers
(2) to take
tickets at the door, (2) for book sales, and (1) host/hostess. Doors
will
open at 6:00
p.m., dinner at 6:30 p.m., program at 7:30 p.m.
- There will be a Book
Discussion Group prior to the event; Wednesday, March 30th
7:00 p.m.
Need to post a flyer in the library and send notice to Advocate.
2. Book Sale - during Annandale's Fourth of
July Celebration
- It was decided that the
Book Sale would be a one day only event; Saturday, July 2
from 8 a.m.
to 3 p.m.
- Additional tables are
needed. Also, need volunteers to sort books ahead of time.
- Book donations will be
accepted at the Library during the month of June.
3. Reorganization of Friends
- Bank Account has been
opened. FOL has received "dues" revenue collected from over
2004 from the
Library Board of Annandale. Cindy has requested instruction booklet
from IRS and
has received one form: additional form may be available online, she will
check.
Request has been sent to ACT for any local resources they may have used to
become 501
(c) (3), but no response to date. The process could take up to a year to
complete.
This project will be revisited Spring of 2005. We will need to secure
the
services of a
local attorney with non-profit experience. Julie Sedey will check with
the Library
Board about the $1100 allocated to file for 501 (c) status.
- The Annandale FOL
Officers met in December with the Kimball Friends President and
the Kimball
Librarian. They supplied a wealth of information to us and to the
Clearwater
Friends.
4. Memberships: The
Library Board has paid to renew Friends membership in the
Annandale
Chamber of Commerce and to the Minnesota Association of Library
Friends (MALF)
for 2005; Friends will need to pay these in the future.
5. Library Wish List: The
Improvement Club has authorized the donation of $1500 to the
Library for another Catalog Work Station.
New Business
6. Annandale Business Expo - April 2, 2005,
9 a.m. - 2 p.m.
- Bonnie and Sandy
will watch for Expo packet to sign the Friends up for the Expo.
The
motion was made by Erla Kyllonen to authorize up $100 to secure a booth at the
Expo,
seconded by Ed Groop and passed. Ed and Erla will be notified when the
form
and
check have been sent in.
- Ed Groop, Carol
Anderson and Erla Kyllonen volunteered for the Expo Committee.
There will be
further discussion at the March meeting, i.e. membership forms, treats,
door prize.
7. Summer Reading Program:
The End of Summer Party for area children will be
dependent on
the dollar amount of available resources.
8. FOL volunteers needed for
Tuesday mornings, Jan - March. Erla and Julie have
committed.
Anyone else interested, please call Sandy.
9. Librarian Report - Sandy
reported that the rocking chair in the Children's Room has
arrived, also
new computer mice and flat screen monitor. She will be attending Cluster
Meeting to
discuss new computer system.
10 Friends Meeting Friends will
be held at the St. Cloud Library on Monday January 24,
7-9 p.m.
The focus will be on Advocacy and the Legislative platform. Please let
Sandy know if you would like to attend.
11 Library Board will meet January 20, 4 p.m. Julie will
represent FOL and Library Board.
12 The next FOL meeting will be March
22, 7 p.m.
The meeting was adjourned at 8:50 p.m.
