Meeting
Minutes
September 15, 2004
Members Present:
Jill Bishop, Ron Remington, Sally Smith, Kathy Wenngatz,
Betty Anderson, Elizabeth Cabalka, Julie Sedey, Mark Casey (city), Cindy
Ahrens (FOL), Bescye Burnet (GRRL), Nancy Walton (State of MN), Vern
Olekowitz (GRRL)
Nancy Walton presented
information concerning Library Maintenance of Effort.
She recommends that the FOL setup their own bank account and work
on becoming a 501C3. This
could take up to a year to accomplish and we as a board will work toward
separating the board and FOL. Questions

will send Jill the trustee handbook for our reference.

is $4099.01. Motion

) to approve report.
*Review of Agenda:
Add MLA Duluth to agenda.
Motion MSP (Sally, Ron) to approve agenda.
*Secretarys
Report: Motion MSP
(Betty, Julie) to approve.
*Librarians
Report: Kathy has
purchased a glider ($425.95) for the library.
Delivery will be in 6 to 8 weeks.
The money was previously approved for the purchase.
*GRRL Report:
The libraries will be closed on November 3rd and 4th
to get the new Horizon Computer system up and running.
Floating collections were explained by Vernthis program would
cut down on deliveries by 70%, however the decision to use this system
has not been made.
*Friends of Library
Report: Cindy plans to
schedule a Friends meeting before the October meeting of this board so
that by November, the Friends could be setup with officers, etc.
They have an author event planned for spring, however an author
still needs to be found.
*Old Business:
- Nominating
CommitteeRon, Betty and Kathys terms will expire on
12-31-04
. They will notify the
committee at the October meeting of their decision to serve another
term or not.
- October
26th GRRL Advocacy MeetingThis meeting will be
held at
7:00 p.m.
in the Community Room.
Elizabeth
spoke to Chuck Sterling at the Advocate regarding coverage; she will
also contact social studies teachers at the schools about attending.
Cindy will speak to FOL members about refreshments.
Motion MSP (Jill,
Elizabeth
) to authorize up to $100 for refreshments.
- Art
WorkBetty, Elizabeth, and Jill will be creating guidelines
for future members of a Library Art committee that discusses
ownership of art, art donations, and selling existing art.
Jane Schulzetenberg will be lending her stained glass to
display in the library, starting in October.
Three of the four Lotus Williams wildlife paintings donated
by Nancy Spencer have been sold.
- Goals
and Focus of the Library BoardThe big change ahead is
separating FOL and Library Board.
We will discuss this at a meeting outside of a regular board
meeting.
Nancy
will send the Trustee Handbook , and she will help us review our
by-laws as we proceed. After
Cindy is further on the new FOL by-laws, Jill and Elizabeth will
work on new by-laws for the Library Board.
- Technology-Sandy
would like a stand-alone computer system for the back room for staff
use, one not online. Cindy
has arranged to get one donated form the Hennepin County Library
system. Jill will ask
Mark Casey if we can get window film on the west windows like that
on the citys west conference room and Marks office.
- Grant
Applications
Sandy
has a $1500 check from Wal-Mart.
Thanks need to be sent.
Elizabeth
will check on any stipulations of using it and if they need a report
on its use.
- Book
of DonorsRon has finished the book; it will be kept on the
table by the granite plaque. Two
donations that need to be added are the new Wal-Mart one and Brian
Atkinsons class.
- Organization
MembershipsNew memberships in FOL include Dingmann Funeral
Care, Annandale Improvement Club and other individuals.
Elizabeth
is unable to go to the MLS Conference on October 7th.
Motion MSP (Ron,
Elizabeth
) to reimburse expenses up to $120 each for Cindy and Julie if she
goes too.
