MEETING NOTES
May 3, 2007


1.  The Sound System - The group discussed the need of protocol for letting other members of the community use the sound system as it's not part of the portable stage. Annandale State Bank wants to use it for July 4th and the triathlon committee for the Heart of the Lakes Triathlon. Dawn Schaefer Stumpf volunteered to type up a document. There was also discussion of where to store the sound system. Dawn Schaefer Stumpf agreed to store it during the concert series and the rest of the season it will be stored at the Snooty Fox Gallery.
 
2.  The Concerts in the Park series - Dawn Schaefer Stumpf  has confirmation letters going out to all of the bands. Zane Schaefer is following up on whether or not we can use the kiosk on Hwy 55 and Oak to advertise the concerts. Laura Hood Beckman is working on food and beverages. Charlene Schaefer is working on velcro for the stage skirting. Wendy Webb is getting the posters printed and is looking for volunteers to hang the posters around town and other local businesses. The group agreed to hand out brochures at the park to help promote all the bands for the summer.
 
3.  Dancing in the Pavilion - Dawn mentioned that Tory Schaefer wants to volunteer once a month as a DJ to sponsor dances (for all ages) in the Park Pavilion at no charge to the community. Each month could bring a different dance theme or style. The question was whether the committee could back it or not. Cost of the Pavilion is $25 per usage. Dawn is checking with City Hall on the availability of the Pavilion. Motion made by Dawn Stumpf/second by the rest of the group- passed unanimous)
 
4.  Petals and Palate Garden Tour and Luncheon- Wendy is working on printing posters and will be looking for help in getting them distributed around town.  Laura has the garden tour tickets printed and can really use help from everyone to get the word out and help sell tickets. Laura will also work on sending out the letter she sent out last year to all the participating garden owners. During the meeting, Charlene Schaefer confirmed that Susan Envy agreed to be our 6th garden. We are still looking for 1 more garden, so if you know of anyone who is interested or has a lovely garden that they'd like to show off, please let Laura Hood Beckman know as soon as possible. Ardis Nelson is working on compiling a mailing list from some of the attendees of the tour from last year. The plan is to send out reminder post cards to help create the buzz for this year. Charlene is working on poster paper in order to make signs for the tour. Susan Hankerson confirmed that Cottage Gourmets will be doing the food for this event.  The postcard size handouts and folded brochures with the summer concerts and our events went over well at this years Business Expo. 
 
5.  Donations - We are always looking for donations of prizes where chances can be sold for a dollar at the Petals and Palate Tour and Holiday Home Tour. If you are ever out and about, please ask the business owners or managers if they would like to donate prizes for our fundraisers. Please let Wendy Webb or Laura Hood Beckman know if you need any ACT donation receipt forms and/or Thank You cards. Prizes can be dropped off at the Snooty Fox Gallery.
 
6. The Computer Age - Wendy came up with a suggestion that it would be nice for the Arts & Culture committee to have their own laptop computer to use to store all of the data they are creating for all these events, record meeting minutes, save mailing lists, etc. Sherry Sweetnam volunteered to follow up with Steve Bergesch to see if he has any recommendations for the team. If any of you have connections or can get a laptop donated to a good cause, please let Wendy Webb know.
 
7.  Our next meeting will be June 7th at 5 p.m., but more meetings may be necessary with the first concert approaching so fast.
